Email handoff · no mailbox access

Email to Airtable, through a governed inbox.

Give suppliers, scanners, and systems an Impora inbox address. Every attachment is checked against sender authentication (SPF/DKIM), a subject token and allowlist, and your Airtable rules before a single row is written.

A real handoff, every week

How a finance team stopped forwarding invoices by hand.

Twelve suppliers email invoice spreadsheets to a shared AP address. Someone used to open each one, copy it into Airtable, and hope the columns matched. Here is what changed once the address was an Impora inbox.

Forwarding by hand
With the Impora inbox
1

Suppliers no longer need a way into Airtable.

Every new supplier meant another guest seat, a shared login, or an operator re-keying their spreadsheet by hand.

Suppliers email the same file they always did, to an Impora inbox address. Airtable access stays with your two operators.

2

Wrong senders and stray forwards stopped getting in.

A forwarded thread or an email to the wrong address could drop unreviewed data straight into a base.

Sender authentication (SPF/DKIM), a subject token, and a sender allowlist gate every message. Anything that misses a check is rejected before it is ever parsed.

3

Bad rows come back to the sender, not the operator.

Malformed rows were discovered days later in Airtable, and untangling them fell on whoever noticed.

Attachments are validated on arrival. Failed rows are held with an error report so the supplier fixes and resends just those.

The real control surface

One screen owns the inbox address, the token, and who’s allowed.

app.impora.app · Inbox Setup

One inbox address per template

A unique, shareable address maps to a saved Airtable table and its rules. Copy it and hand it out.

Sender + subject-token checks

Impora confirms the sender is on your allowlist and the subject token matches, with SPF/DKIM verification, before opening any attachment.

Accepted files only

CSV and Excel attachments are parsed and imported; anything else is quarantined automatically.

Live, hands-off status

Passing emails import on their own. The connector shows last received, last success, and last failure, with nothing to run by hand.

The other direction

Email data out, and let it come back edited.

Impora doesn’t only pull data in. Send Airtable views out as scheduled CSV or Excel files, and, when you want a review loop, let recipients edit the attachment, reply, and have their changes flow straight back into the right template.

Scheduled or triggered exports
Send an Airtable view out as CSV or XLSX on a schedule, or fire it on a trigger, straight to your recipients.
Reply-to-update roundtrip
A recipient edits the attached file, replies, and the changes re-import to the right template automatically.
Named sender identity
Replies come from a branded, named sender so recipients see a trustworthy address, not a no-reply relay.
STEP 1
Export goes out
Airtable view to CSV/XLSX, emailed to your recipients on a schedule or trigger.
STEP 2
Recipient edits & replies
They update the attached file and hit reply, from a named, branded sender identity.
STEP 3
Changes re-import
The reply re-imports to the matching template, validated like any other inbound message.

Trusted senders only

Spoof-resistant by design, not just a “From:” check.

Email is convenient, but easy to fake. Impora authenticates every message with the same SPF and DKIM signals your mail provider trusts, and fails closed the moment they don’t line up.

Sender authentication (SPF/DKIM)

Every message is checked for SPF and DKIM alignment. Spoofed or misaligned email is rejected before anything is opened, genuine authentication, not a readable "From:" field.

Trusted senders only

Beyond authentication, a message must come from an allowlisted address or domain and carry your subject code. Miss either and nothing imports.

No mailbox access, ever

You forward files to an Impora address. Impora never logs into, reads, or stores your mailbox, only the messages sent to that inbox.

Same validation as uploads

Required fields, formats, select options and linked records are checked with the exact rules your direct uploads use, nothing gets a looser pass by email.

Everything is logged

Accepted, rejected, and quarantined messages all appear in run history, so an email channel stays as auditable as any other intake lane.

Fail-closed by default. If authentication fails, the sender isn’t on the allowlist, or the subject code is missing, Impora imports nothing and replies to nothing, silence is the safe default. Every attachment that does pass is still validated against your Airtable rules before a single row is written.

Email to Airtable questions

Can external senders use email without an Airtable account?+

Yes. Senders just email a file to the inbox address. Airtable access stays limited to your operators, no seats or logins for the people sending data.

What file types can be sent to the inbox?+

CSV and Excel attachments (.csv, .xlsx, .xls) are processed for import. Any other attachment type is quarantined automatically rather than imported.

How does Impora stop random emails from importing data?+

Every message is authenticated (SPF/DKIM), must carry the required subject token, and must come from an allowlisted address or domain. Anything that misses a check is rejected before an attachment is parsed.

How does Impora stop spoofed or forged emails?+

Impora verifies SPF and DKIM on every message and rejects anything spoofed or misaligned before it is opened. Combined with the sender allowlist and subject code, the inbox fails closed, nothing imports and nothing replies unless every check passes.

Can Impora email data out of Airtable, not just in?+

Yes. Impora sends Airtable views out as scheduled or triggered CSV/XLSX files by email. With the roundtrip flow, a recipient edits the attachment, replies, and their changes re-import to the matching template automatically.

Does auto-forwarding from Gmail or Outlook work?+

Yes. The inbox address accepts manual forwards and Gmail/Outlook auto-forwarding rules alike, so a system that already emails a report can feed Airtable with no extra steps.

Do inbound emails import automatically?+

You choose. Turn on automatic imports to process messages as they arrive, or leave it manual and run a check on the waiting messages when you are ready.

What happens to rows that fail validation?+

Valid rows import and failed rows are held with an error report. The sender can correct just those rows and resend, and it all shows up in run history.
